Office Manager/ Receptionist

Minimum Requirements for this role:

• Matric
• Driver’s licence
• 1-2 years reception / secretarial / admin / data capturing experience
• Fully computer literate and proficient in Word, Outlook, Excel and PowerPoint
• Must be fluent in English
• Well-spoken and well-groomed
• Strong writing skill


• Secretarial certificate
• Experience within the ISP, Mobile Phone Operator or Fibre Industries
• Familiar with home broadband technologies such as Wi-Fi routers and ADSL modems
• Own transport

Roles and responsibilities:
• Operate telephone switchboard to answer, screen and forward calls, providing information, taking messages and scheduling appointments
• Making suggestions for effective customer call first time resolutions
• Perform administrative support tasks such as proofreading, transcribing handwritten information, and working with invoices and other documents
• Sending out email communication to HR for staff attendance
• Greet persons entering premises, determine nature and purpose of visit, and direct or escort them to specific destinations
• Hear and resolve complaints from customers and public where applicable
• File and maintain records, as well as all other administrative tasks
• Schedule appointments, and maintain and update appointment calendars specifically the booking of the boardroom
• Provide information about establishment such as location of departments or offices, employees within the organization, or services provided
• Draw up and keep spreadsheets for office use to keep track of client/staff records/stock
• Manage all office consumables stock
• Manage all recoding of incoming and outgoing petty cash and company card
• Managing all petty cash recons (reporting monthly) and making suggestions to improve system
• Bookings and confirming events
• Maintain the office condition and arrange necessary repairs
• Partner with HR to update and maintain office policies as necessary
• Organize office operations and procedures
• Coordinate with IT department on all office equipment
• Ensure that all items are invoiced and paid on time
• Manage contract and price negotiations with office vendors, service providers and office lease
• Manage office budget, ensure accurate and timely reporting
• Any other administrative task required in the position
